HRus Partners (License No. 414), on behalf of our client, a well-established law firm in Limassol, is looking for an Administration Officer to join its Administration Department and support the firm’s continued expansion in Limassol.
Key Duties and Responsibilities:
The role involves providing wide-ranging support to Management on organisational, operational, procedural and general office matters. The following duties are indicative and not exhaustive:
Procedural and Administrative Matters
- Monitoring the implementation, effectiveness and observance of the Firm’s internal procedures and policies, and submitting recommendations for their improvement.
- Maintaining and organising the archive of procedures, regulations, resolutions, instructions, circulars and minutes of Management.
- Organising and coordinating meetings, conferences and internal presentations, including the keeping of minutes.
- Keeping Management informed on matters arising in the course of the Firm’s operations.
Office operations and infrastructure
- Monitoring the proper functioning of the Firm’s systems, software, equipment and infrastructure.
- Liaising and coordinating with external associates and suppliers on matters of maintenance, repair and renewal of contracts.
- Acting as the point of reference for staff on matters relating to the use of the Firm’s systems and equipment.
Personnel matters
- Maintaining and organising personnel files and records, together with the related leave procedures.
- Coordinating the recruitment process and the induction of new members of staff.
- Supporting Management in the design and implementation of staff training programmes and activities.
Promotion and communications
- Supporting the promotion of the Firm, including the management of its website, social media presence and related materials, in cooperation with external associates.
General administrative support
- Overseeing and supporting the Firm’s reception and secretarial functions, including undertaking them as and when the needs of the Department so require.
- Undertaking any other cognate duties of an administrative or organisational nature as may be assigned by Management.
Professional and Academic Qualifications and Experience
- A university degree or other recognised diploma in Business Administration, Secretarial Studies or a related field.
- At least three (3) years’ proven experience in an administrative support or office organisation role; previous experience within the professional services sector will be considered an advantage.
- Excellent command of the Greek and English languages, both written and oral; the ability to draft and edit texts in both languages will be considered a significant advantage.
- Very good working knowledge of Microsoft Office, including PowerPoint, and utilization of standard information technology applications.
- Knowledge or experience of basic accounting tasks and of human resources practices will be considered an advantage.
- Familiarity with social media and contemporary methods of digital promotion will be considered an advantage.
